Photo & Media Policy

Overview

Arcade Everywhere events are inherently photogenic — and those moments belong to everyone in the room. This policy explains how AE handles photography and video at events, what rights clients and guests have, and how we protect the privacy of minors.

AE Media Rights

AE may photograph or video record events for internal quality review and marketing purposes, including use on our website, social media channels, and promotional materials.

• Game Guides may capture candid moments during facilitation using a personal device or provided equipment
• Identifiable images of minors will not be shared publicly without explicit written consent from a parent or guardian
• Media is used to show real events, real people, and real energy — never staged or misrepresented
• We do not sell or license event photography to third parties

Client & Guest Media

Clients and their guests are welcome and encouraged to photograph and video record AE events for personal use. This includes sharing on personal social media accounts.

• Tag us — we love seeing your moments: @arcadeeverywhere on Instagram
• Commercial use of AE game formats, kit designs, signage, facilitation methodologies, or branded materials is prohibited without prior written consent from AE
• Reproduction or replication of any AE game concept or experience design for profit is a violation of our intellectual property rights

Minors & Photo Consent

We take the protection of children's images seriously. Our standards exceed what is legally required:

• AE will not publicly share any identifiable image of a minor without written parental or guardian consent
• By booking an event that includes minor participants, the signing client represents they have authority to grant or withhold consent on behalf of those minors
• If your event involves a school, camp, or institutional setting with its own media policy, please share that policy with us at booking
• We defer to the stricter standard between our policy and the institution's policy

AE Intellectual Property

All AE game concepts, experience designs, facilitation methods, theme systems, branded materials, and training methodologies are the exclusive intellectual property of Arcade Everywhere LLC. No license to use, reproduce, or replicate any AE content or design is granted by attending or booking an event.
