Our Commitment to Youth Safety
Arcade Everywhere serves thousands of children each year at birthday parties, school events, camps, and community gatherings. The safety, dignity, and wellbeing of every minor participant is our highest operational priority. Our youth safety protocols are non-negotiable and apply to every AE event involving participants under 18.
Game Guide Standards for Youth Events
All AE Game Guides working at events involving minors are required to follow these protocols without exception:
- Never alone with a minor — Game Guides do not engage in one-on-one, unsupervised interaction with any minor participant
- Physical contact limits — physical contact is limited to high-fives or handshakes during gameplay only; no hugging, lifting, or extended physical contact of any kind
- No escort policy — AE staff do not escort minors to restroom facilities, off-site areas, or any space outside the event footprint
- Incident documentation — any safety incident involving a minor is documented and reported to the client representative immediately
- Background screening — all Game Guides complete criminal background checks and sex offender registry screening before working any event
Client Responsibilities for Youth Events
When booking an event that includes minor participants, the signing client agrees to:
- Represent that they have authority to execute the Event Services Agreement on behalf of all minor participants and their guardians
- Maintain adequate adult supervision ratios for their guests, independent of AE staffing
- Ensure a designated adult point-of-contact is present and reachable throughout the event
- Notify AE in advance of any participant with known behavioral, medical, or accessibility needs that may affect safe participation
AE Game Guides are trained facilitators, not supervisors or childcare providers. Client-side adult supervision is required and cannot be substituted by AE staffing.
Facilitation Design for Youth Participants
Every AE experience is designed to be safe, inclusive, and age-appropriate for the participant profile of the event:
- All activities use age-appropriate facilitation language and energy calibration
- No elimination, no humiliation, no forced participation of any kind
- Equipment is designed with no sharp edges, non-toxic materials, and materials appropriate for all ages
- Choking hazard mitigation is applied for events with children under 6
- Game rules are delivered in short, sequential chunks with visual demonstration to support all learning styles
Photography & Media at Youth Events
Identifiable images of minor participants will not be shared publicly by AE without explicit written consent from a parent or guardian. See our full Photo & Media Policy for details.
